Privacy Policy

This policy applies to kongtone.com and to enquiries and quotations handled through it. Transactions themselves are concluded offline, in writing, between you and our team.

1. Who is responsible for your data

The data user is KONG TONG Electronic Limited, a company established in Hong Kong in 2014 (Business Registration No. 63620732), of Unit 806-808, 8/F, 1 Hung To Road, Kwun Tong, Kowloon, Hong Kong.

For anything in this policy, including access and correction requests, contact us at kongtong16888@gmail.com or on WhatsApp at +852 6941 6995. We answer privacy requests within 40 days.

2. What we collect

We only collect what is needed to answer you and to run a wholesale transaction:

• What you type into a form — your name, phone or WhatsApp number, email address, company name, city or country, what you want to buy or sell, quantities, grades, target price and timing.
• Technical data sent by your browser — IP address, browser user-agent string and the time of submission. We use these only to filter spam and to investigate fraudulent enquiries.
• Correspondence — emails, WhatsApp messages and quotation sheets exchanged after your enquiry.
• Transaction records — invoices, packing lists, payment records and shipping documents, once an order is placed.

We do not ask for identity card numbers, bank credentials or any special category of personal data through this website, and we never take payment on it. Please do not send them through the forms.

3. Why we use it

• To reply to your enquiry and prepare a quotation.
• To agree a transaction in writing and arrange inspection, payment, export documents and shipping.
• To keep business records that we are required to keep under Hong Kong law.
• To prevent spam, fraud and misuse of our forms.

We do not use your data for automated decision-making, profiling or advertising, and we do not send you marketing messages unless you have asked for them.

4. Our basis for processing

By submitting a form or writing to us, you consent to us using your details for the purposes above. Where an order is placed, we also process the necessary data to perform that contract and to meet our legal and tax obligations in Hong Kong.

5. Who we share it with

We do not sell, rent or trade personal data. We share it only where it is needed:

• Service providers — our hosting provider, email provider and IT support, who process data on our instructions.
• Logistics and customs — freight forwarders, couriers and customs brokers, for shipments you have ordered.
• Banks and payment channels — to confirm and receive payment.
• Professional advisers and authorities — auditors, insurers, or a court or regulator where the law requires it.

Some of these providers may store data outside Hong Kong. Where that happens, we require them to apply protections consistent with this policy.

6. How long we keep it

• Enquiries that do not become orders — up to 24 months from the last contact, then deleted.
• Orders and transaction records — 7 years, as required for business records under Hong Kong law.
• Spam and fraud logs — up to 12 months.

7. How we protect it

The site is served over HTTPS. Access to enquiry records is limited to staff who need it, protected by named accounts and permissions. Mail credentials used by the site are stored encrypted. We keep server and application logs for troubleshooting and review them when something looks wrong.

No system is perfectly secure. If a breach affects your personal data, we will notify affected parties and the Office of the Privacy Commissioner for Personal Data as required.

8. Cookies and local storage

This website does not use advertising or analytics cookies and does not embed third-party tracking scripts. Our staff console stores a session token in your browser's local storage after login; it is used only to keep you signed in and is removed when you log out.

If we introduce analytics in future, this section will be updated before it goes live.

9. Your rights

Under the Personal Data (Privacy) Ordinance (Cap. 486) you may:

• ask whether we hold personal data about you, and request a copy;
• ask us to correct anything inaccurate;
• withdraw consent to future use, or ask us to delete data we no longer need;
• ask us to stop contacting you.

Email kongtong16888@gmail.com with the subject line “Data request”. We may ask you to verify your identity before acting, so that we do not disclose your data to someone else. We normally handle requests free of charge.

10. Children

This is a business-to-business site. It is not intended for anyone under 18, and we do not knowingly collect data from children.

11. Links to other sites

Pages on this site may link to WhatsApp, email providers or other services. Once you leave our site, their own privacy policies apply, and we are not responsible for them.

12. Changes to this policy

If we change how we handle personal data, we will update this page and the date at the top. Material changes will be noted on the site for at least 30 days.
